To physically track inventory during an event, we will use stand sheets. It is important to ensure your event is created and all stand sheets opened before your event starts if you want to be able to track inventory effectively.

- Standsheets Overview
- Creating and Verifying Standsheets
- Opening and Tracking Standsheets
- Closing Standsheets
To start working with stand sheets navigate to Events Standsheets.
First, choose what event you are monitoring by clicking the event drop-down in the top right. On this screen, we can create and edit our standsheets for each location. Check the box next to the location that you want to edit. (Or click the checkbox at the top of the list to select all)
We can bulk adjust any of the standsheets selected by clicking the blue Actions button. These actions do the following:
Create Selected Standsheets - Creates a standsheet for the selected location. Be sure to create them before your event starts.
Open Selected Standsheets - Places the standsheet in an open state. Before your event starts, an open standsheet will be ready to track inventory changes.
Close Selected Standsheets - Once the event is over, you can close a standsheet, and it will stop tracking changes for that event.
Print Selected Standsheets - Downloads a printable PDF for each selected standsheet.
Print Blank Standsheets - Downloads a printable blank PDF for each selected standsheet.
Creating and Verifying Standsheets
Before the event starts, we will create and open the standsheets so that inventory can be tracked.
Before the events begin and before inventory would be moved, we will first Create the standsheets.
Once the standsheets are created, we advised here to verify that they are correct and have countable and chargeable items. Once you are more comfortable with using Bypass, this step might not be required. To check a standsheet click the Edit button next to the location.
Under the Verify tab confirm that you are tracking all items you wish to track. If you want an item to be counted, make sure that it has a green check under Countable and if you want the price to show up on the standsheet that there is a green check under the Chargeable column.
If there is not a check next to an item and you need that item to be chargeable or countable, you can click on the items name and add a stock item or recipe to the item. For more information on stock items and recipes, click here.
Opening and Tracking Standsheets
When you are ready to start the event, and you have verified that the standsheets are correct, we will open them before the event begins. You can use the Actions button to bulk open multiple standsheets, or you can open individual ones by clicking Open.
Once all standsheets are open, you can officially start your event. Once the event is over, we can then count the count by either using the digital standsheet on the register or by printing out the standsheets.
To print out your standsheets, select the locations you want to print and using the Actions button, click Print Selected Standsheets. Click the Download PDF button, and a new window will open up with the PDF. Just print it out and have your stand managers fill them out.
You can also track standsheets digitally through the register. When working an event, you can tap on the Stand Manager window and then choose Standsheet from the options on the side.
On the Standsheet page, you can type in the Start Count on the right, and at the end of the event, you can type in the End Count.
Once the event is over, and all the counts have been completed, you can return to the Standsheet page to finalize your counts. Click on the Edit button next to the name of the location. Under the Counts tab, we can fill out the start and end counts as required.
If you had your standsheet filled out digitally through the register, these numbers would automatically fill in. If you printed and manually filled out your standsheets, you could fill it out now. Once you have filled out all fields, you can Finalize your standsheet, and it will be moved to a closed state. You can always Re-Open a standsheet and make adjustments.
